Onboarding with flashcards: Train new employees
New employees need direction: which products do we offer, how do we handle enquiries and when should we ask for help? This guide uses a fictional customer service team to show how flashcards can support onboarding alongside personal introductions and practical exercises.
1. Define the essentials for the first week
Begin with three topics: basic product knowledge, handling a customer enquiry and internal contacts. Decide what new employees should be able to explain and apply with guidance after week one. Keep this separate from exceptional cases that can wait until later.
2. Select reliable internal materials
Use approved product descriptions and current work instructions. Only use content you are authorised to use for this purpose. Remove real customer details, credentials and confidential information. Before uploading to AI, check whether the documents are suitable for processing by external services.
Privacy3. Prepare training materials with AI
Use MemoCard’s AI feature to draft flashcards from suitable documents, then edit the results in the editor. Each card should ask one concrete question with an understandable answer. Split long workflows into several questions. For product training, ask separately about features, use cases and limitations.
4. Have subject experts check the answers
Compare every suggestion with approved materials. Are product names, responsibilities and procedures correct? Can someone without prior knowledge understand the question? Remove outdated details and unclear wording. AI suggestions are drafts; the responsible person in your business should approve the content.
5. Assign teams and support their learning
Organise new employees into a learning group and assign the appropriate flashcard sets. They can practise with card stacks, the Leitner system or exam mode. Use activity and results to inform follow-up discussions and practical exercises. The learning overview alone does not certify workplace competence.

These fictional samples are not binding company policies. Replace the answers with your approved workflows and responsibilities.
What information is needed when receiving a customer enquiry?
In our sample team, the issue, affected product and steps already taken are recorded. Only information needed to handle the enquiry is collected.
What should I do if I cannot confidently answer a product question?
In our sample team, the question is passed to the appropriate expert. Unverified statements are not promised as product features.
How do I know when to hand an enquiry over?
In our sample team, an enquiry is handed over when it falls outside the employee’s responsibilities. The handover includes a brief summary and the steps already checked.
A sample plan for the first working week
Use this as a template for your onboarding. You organise the schedule, conversations and practical tasks; MemoCard does not automatically run this weekly plan.
- Day 1: Introduce products and key contacts in person, then review essential terms with a small introductory set.
- Day 2: Demonstrate how to handle a customer enquiry and work through a fictional case together. Review it using the relevant cards.
- Day 3: Practise product questions, collect uncertainties and discuss them with an expert. Improve unclear cards together.
- Day 4: Work through another case with guidance. Review the relevant set with the Leitner system or exam mode.
- Day 5: Discuss results and experiences. Choose further exercises and materials based on the support actually needed.
