Roles and permissions

Who can do what? Differentiate the management of the platform, organization, study group and card set.

Roles apply in different areas

A person may have multiple roles or ownership positions. Ownership of a card set, management of a study group, and administration of an organization are different permissions. The table describes responsibility; specific actions may additionally depend on allocation, account and organization status.

Role or ownershipAreaTypical possibilitiesImportant limitation
System administratorPlatform and organizational configurationadminister organizations, maintain license and access configuration and appearance.Do not equate this role with tenant administrator. Organization pages perform their own role checks; do not assume automatic role inheritance.
Tenant administratorOwn organisationAdd and manage organization users, set up classes and study groups, view assignments and organizational learning progress, and edit organization details.Viewing your own license does not mean you can configure it yourself. Platform-wide settings are in the system administration.
LearnerOwn learningLearn accessible flashcard sets and view your own learning status. No organizational administration through this role alone. Creating your own content requires the appropriate approval.
Owner of a personal study groupThis study groupManage group, edit members and invitations, assign allowed flashcard sets, and open group settings. No automatic management of a school or company.
Group administratorAssigned personal study groupManage members and invitations as well as assign permitted flashcard sets. The owner settings of a personal group are reserved for the owner. No automatic access to organization reports.
Group memberAssigned study groupOpen the flashcard sets available for the group to learn.Membership alone does not allow member management or editing of the flashcard sets.
Card set owner or authorized userSpecific card setDepending on the existing rights, edit, manage, publish or delete.Learning access, editing, management and publication are separate rights. Which action is allowed, show the offered functions.

What does “owner” mean?

The term must be read together with its scope. A group owner does not own the organization. A card set owner manages his set, not automatically his learning groups. The organization owner is also a special assignment, which not every tenant administrator automatically owns.

Three examples from everyday life

  • A student sees a card set of her class and can learn. If “Edit” is missing, the allocation can still be correct: The learning access alone is not enough for this.
  • An employee becomes a group administrator. This allows him to co-manage his personal study group, but does not automatically receive organization user management.
  • A tenant administrator can check the license occupancy of her school. To increase the limit or adjust the appearance, it requires the responsible system administration.

If an action is missing or rejected

  1. Check if you are logged in with the correct account.
  2. Check the area: own set, personal study group or organization.
  3. Control the assigned role and the specific release.
  4. Ensure that the required connection exists and that current allocations are synchronized.
  5. Ask the relevant owner or administrator to check. Do not simply grant a broader role.
